Policy Reviews on Web site Updates
In order to continue getting all updates done with a short turn around time, this post will outline and clarify EWM policy's on updates. Please read carefully and if you have any questions, please feel free to ask. Our Goal is to keep your sites updated with the least amount of lead time!
Mondays are generally the day set aside for updates, and updates sent and received Before Monday 9:00 AM Mountain Time, have a good chance of getting in the que. Keep in mind this is not a hard and fast rule. Also keep in mind that some Mondays may have more edits in the Que than other Mondays. Our goal to get your website updates done with no longer than 7-10 days lead time. But in order to keep this a reality, a few tips and helpful submission outlines have to be outlined.
1) Updates must be received before Office Opens Monday, to be placed in the Edit Que for the day. anything Received after that time maybe possibly be placed in the following Mondays Edit folder.
2) Absolutely no updates will be taken over the phone, or by fax ( legibility reasons) preferred method of sending updates is via email. 2nd best is by CD. Updates sent byother methods can be delayed or lost.
3) Updates should be in electronic format, (i.e. typed in Body of email, MS word Doc, PDF, or text file. Handwritten Updates are strongly discouraged mostly due to conversions, too much chance of edit error, charges for re-typing will applied if necessary.
4) Photos, graphics images, are also best sent via email, or in Electronic format.
5) any Materials sent by Snail Mail ,Fed-ex etc, must have a "Self Addressed Stamped Envelope" Included for quick return. All images/photos must be clearly labeled. Scanning Fees will be applied. Equine Web Marketing will not be responsible for loss or damage of stored photos.
6) Update instructions must be clear, the "number 1" delay reason on edits is unclear instructions. Overkill on instructions can work!
7) All text copy must be "ready to go", meaning, typed out in exactly the same way you want it on the website. Check for typos and spelling errors before sending
8) All edits must be sent in the same time period. Updates are best and more efficiently done at the same time. Sending in updates, and then sending in another set of updates immediately following can possibly, cause delays, be placed back in the que and/or also fall under "extra" updates and charge per hour. If you send multiple's updates and indicate more are coming we may delay the editing process until it is confirmed all updates are "in hand".
Updated Editing Fees
Scanning Fees - 1.00 per photo
Return of photos with out SASE- 25.00 trip fee plus postage costs
Normal editing 25.00 per hour. ( Normal editing is editing that does not fall under your 4 updates per year)
Special Editing 40.00 ( Special editing can be edits retyped from print copy, edits sent with out clear instructions, and Rush Edits )
Premium Photo Selection fee- 45.00 per hour. ( Extra photos sent, with instructions "pick best one", extra time will be given to professionally evaluate photos, and select based on several criteria to best fit in the site. )
Please note that while we to strive to continue providing the 4 updates that came with your original package, if send edits are not adhering to submission policies, there is a good chance your update can be 1) delayed until corrected 2) Regular Update Per hour Charges be applied.
